Job Description

The finance and administration director is a key member of the senior management team, responsible for planning and oversight of the Inter-American Dialogue’s financial operations, grants management, technology, human resources, administration, and facilities management. The director serves as staff liaison to the Board of Directors’ Finance and Audit Committee.

The finance and administration director staffs the department, within limits of the budget, in such a way that all departmental responsibilities are handled effectively and professionally. Occasionally, must perform accounting tasks to ensure timeliness of financial reporting. Responsibilities of the department include, but are not limited to:

Financial Management (50%)

  • Oversees and/or performs all accounting functions
  • Develops and manages annual budgets
  • Develops and maintains sound and current financial management systems and written procedures
  • Manages cash flow
  • Prepares financial reports and analyses for management and the Board
  • Ensures the effectiveness of internal controls and reliability of financial statements
  • Coordinates management of the Dialogue’s investments within policies set by the Board
  • Oversees year-end external audit
  • Responsible for identifying and mitigating potential risks to the organization through appropriate insurance coverage, human resource policies, accounting policies, etc.

Grants Management (10%)

  • Reviews all new grants and contracts
  • Works with program staff to ensure compliance with grant requirements
  • Prepares and submits financial reports

Office Administration (10%)

  • Oversees front desk coverage, vendor relationships, ordering of office and kitchen supplies, and equipment maintenance
  • Works with the external network support company and other vendors to manage the Dialogue’s technology
  •  Develops, in collaboration with IT consulting firm, and implements a strategic plan for technology
  •  Works with external architect to develop new office space

Human Resources (30%) 

  • Manages all aspects of human resources including recruitment and hiring, benefits administration, compensation management, and personnel policies and practices
Qualifications

Successful candidate must have a graduate degree in public administration, business administration or a related field and at least 3 years of financial management experience within a nonprofit organization. CPA would be highly desirable. Knowledge of Spanish or Portuguese would be a plus. Must be meticulous about details, with good problem-solving skills, sound judgment and excellent interpersonal skills. Strong spreadsheet skills and experience with accounting software are also required. (The Dialogue uses MIP Fund Accounting. Experience with this software would be terrific, but not critical.) Must be eligible to work in the US. Must have experience with USAID contracts and A-133 audit.
