Job Description

The Inter-American Dialogue seeks an entry-level staff person to join its team. The development and external relations coordinator will support the senior staff in a range of activities (see below).

The development and external relations coordinator will work under the direction of the development and external relations manager and the director of finance and administration. This position requires a high level of collaboration with the entire staff, but mainly with staff from the Office of the President.

Specific responsibilities include:

Development and External Relations (75%)

  • Work closely with Dialogue’s development and external relations manager and senior advisor to the president on execution of the organization’s Development and Communications Strategic Action Plan
  • Research, organize, and manage prospect information (individuals, corporations, etc.)
  • Enter donations in the organization’s database
  • Track and acknowledge contributions
  • Collect and manage information on donors and potential donors using the Dialogue’s fundraising database
  • Update fundraising statistics and prepares donations reports for the president, development committee, and senior staff
  • Assist with project management (i.e. Annual Awards Dinner and other events)
  • Assist with the production the organization’s annual report (annually)
  • Collaborate with Dialogue’s program staff to package promotional content across digital platforms and proposals, using the Dialogue’s style guide
  • Assist with tracking performance metrics ( i.e. audience growth) overtime
  • Coordinate mailings, as needed
  • Prepare and mail solicitation for the Associates Program and Annual Campaign
  • Other tasks related to Development and External Relations, as assigned

General Office Support (25%)

  • Assist in maintaining the Dialogue’s database and ensure quality control
  • Provide other administration support regarding fundraising activities
  • Provide assistance as needed for scheduled events
  • Answer phones, greet visitors, and handle vendor issues, as needed
  • Supervise and manage the work load of an intern
Qualifications

We are looking for an individual who will take ownership of the administrative aspects of this position. A Bachelor’s degree is required. Minimally, we require an individual who is extremely organized, friendly, poised, and has excellent judgment. Experience in fund-raising and external relations is preferred, but not required. Strong computer skills (including Outlook, Microsoft Office Suite, WordPress, and CRM systems) and fluency in Spanish is required, Portuguese a plus.

S/he will have initiative, excellent communications, organizational, and administrative skills, outstanding problem-solving skills, and the ability to communicate effectively in both English and Spanish. Candidate must have the ability to juggle multiple projects with competing priorities simultaneously while being able to work under short deadlines, and deliver in a rapidly changing, fast-paced office environment.
