Job Description

The Inter-American Dialogue seeks an administrative office assistant for a community development project in Guatemala that will provide greater educational and economic opportunities in communities of high emigration.

The position will be responsible for assisting with field office administration such as answering phones, maintaining office computers and printers, ordering supplies, and ensuring a smoothly functioning office space. They will also be responsible for helping to coordinate the logistics of trainings, meetings, and events. Finally, they will be responsible for providing assistance to the national program coordinator on administrative matters.  

Principal Duties and Responsibilities

Field Office Administration (50%)

  • Help the country coordinator to establish and furnish a local office space
  • Maintain and order office supplies
  • Provide basic printer, phone, and computer support for field office staff
  • Answer phones and greet guests
  • Maintain office calendar

Events and Meetings Coordination (25%)

  • Coordinate the logistics of meetings, including meeting space, materials, travel, and catering
  • Attend meetings in-person to assist with registration and other activities

Assistance to Country Coordinators (25%)

  • Provide ad-hoc administrative support to the country coordinator on matters related to program administration
Qualifications

The ideal candidate will have experience in office administration, as well as the desire to help others and contribute to the project’s goals. They should also have excellent interpersonal and organizational skills as well as basic computer and office technology skills.
